Dear Heads of FIU,

We hope this email finds you well.

During the Egmont Group Plenary meeting in The Hague you endorsed the products of the IEWG Flexible, Consistent Information Exchange Standards together with the necessary dissemination strategy and a plan for their further implementation.

We are now happy to send you (please see attached) the two main products of this project, namely:

  • The XML Schema (XSD) for structured exchange of requests for information; and
  • The related PDF Form which can be used for both generating and reading the XML file (for the purpose of sending and receiving requests for information), for those FIUs who do not have the technical capacities to implement those functions in their internal IT systems.

Based on the agreed dissemination and implementation strategy approved in The Hague, you are kindly asked to do the following:

  1. Start testing the XML Schema and its implementation within your IT infrastructure.
  2. Start testing the PDF Form.
  3. You should collect all feedback from this testing phase and provide it back to the project team by sending it no later than October 31st, 2019 to nedko.krumov@egmont.org, copying:  elad.wieder@egmont.org. You are kindly asked to provide only technical feedback related to identified bugs, errors, glitches or any other technical difficulties related to the implementation and use of the XML schema and the PDF. As agreed in The Hague, you should not provide comments related to the substantial content of the form.
  4. Once this technical feedback is collected (and if needed), there will be a second round of collection of feedback which will be more targeted and dedicated to specific issues only. It should be completed by the middle of December 2019.
  5. Based on the feedback collection, the project team will prepare a debugging list, which will be disseminated and subsequently discussed during the meeting in Mauritius in January 2020, where it should be finalized.
  6. The actual technical debugging of the XML Schema and PDF Form will be done after the meeting in Mauritius (by the project team).
  7. PPWG will work in parallel in order to develop a policy, which the HoFIU will discuss and eventually endorse (by the meeting in Mexico in July 2020) in order to make the use of the XML Schema and the related PDF Form mandatory for all FIUs when they send operational requests for information.

As of the aforementioned, all FIUs should do their best efforts in order to test the new structured format for exchange of request for information (either the XML Schema with the PDF, or only the PDF). This will allow the project team to collect the necessary high-quality feedback and fix all identified bugs, errors, and glitches in the form.

Please be aware that the form will be also uploaded to the Spotlight Section of ESW and to the IEWG Community Page on ESW.

We remain at your disposal for any questions or comments.

Kind regards,

EGS
