Dear IEWG members,

 

Following yesterday's invitation of the IEWG Chair - Mr. Marko Stolle to convene a virtual working group meeting on July 6th, we would like to inform you that a preliminary session will be scheduled in order to test the technology that will be used - Microsoft Teams.

 

Each member FIU is invited to join the testing session, which will take place on Thursday, June 25th, at 1:00 pm Central European Summer Time. In order to join the testing session you have to follow the link below:

For those users who do not have Microsoft Teams account, you can simply use your web browser in order to open the link. For that purpose, Microsoft is recommending (preferably) the use of Chrome or Egde. If you have any connection issues you can find additional guidance in the attached documents or contact the EGS IT expert: Waqar Ajmal <mailto:Waqar.ajmal@egmontsecretariat.org> for further assistance.

 

Unfortunately, some users with specific security settings or operational systems such as Linux may have significant issues or even impossibility to connect the testing session and respectively the IEWG virtual meeting. The EGS will gladly work with these users to find solutions to allow a full participation in the meeting, e.g. by usage of mobile devices.

 

Finally, as the participation in the IEWG virtual meeting on July 6th will be restricted to two connections per FIU, we strongly recommend that especially users who are going to participate in the actual IEWG meeting, join the testing. Exceptions are envisaged for FIUs that are asked having an active role during the IEWG meeting (e.g. presenting or leading a project). These FIUs will receive more than 2 connections in order to allow them to fully contribute to the meeting agenda.

 

We strongly recommend the use of headsets for the testing session and the IEWG virtual meeting.

We hope this e-mail finds you well in these extraordinary times.

 

The current year is significantly influenced by COVID-19 and this year's Egmont meetings in Oaxaca, Mexico has to give way to a virtual alternative. This of course also applies to the corresponding IEWG working group meeting, which usually takes place before the plenary session and was planned for July 6th and 7th, 2020.

In order to at least partially ensure business continuity and the usual course of the Egmont meeting week, the IEWG Chair intends to schedule a shortened IEWG working group meeting on July 6th, 2020.

 

The main topics for discussion during the meeting include:

 

  1.  Finalisation of ongoing projects and other important project updates

  2.  Discussion and approval of the new IEWG Business Plan 2020 - 2021 (including new projects)

  3.  ESW update

  4.  Any other business.

 

It is expected that the meeting duration will be 3 hours with one 30 minutes break in between sessions. Further details about the technology to be used for the virtual meeting, the exact hours of the meeting, as well as detailed agenda, will be provided in due course.

 

By conducting a virtual session, we are entering into technical territory rather unknown to Egmont, so we would like to arrange a test event before the actual meeting in order to enable everyone to ensure that the connection to the virtual meeting works. More information about this and all other relevant organisational topics will follow shortly.

 

All necessary documents for the meeting will be uploaded to ESW (IEWG Community page) prior to the meeting.

 

We very much hope that many of you will be able to participate despite the unusual meeting format and look forward to seeing you virtually in July!
